Treatment Coordinator – Guildford Treatment Coordinator/ Receptionist Full time Guilford Interviewing NOW! Overall Role: The Receptionist and Treatment Co-ordinator is required to work as part of the dental team. Initially anticipating then identifying patient needs and facilitating the patient journey whilst assisting the delivery of dental care services to our patients. In addition, assisting in any required front of house services as part of our overall procedures, all the while, ensuring maximum contribution to the practice success, and in line with GDC & CQC guidelines and practice policies. Acting at all times as ambassador for the practice both externally and internally. General tasks: Key - To provide outstanding customer service at all times Retain ability to schedule appointments in person or by telephone, referring to clinical team where necessary in accordance with practice policy. Ensure patient, or patients representative, have understood and signed appropriate paperwork Maintain full operational understanding of Orthotrac and follow practice systems Receive and action incoming calls as appropriate - utilising telephone system in place Assist in maintaining reception as a welcoming, pleasing and orderly area and contribute to maintaining all staff areas in an orderly and tidy fashion Actively promote sundry oral healthcare products to patients. Giving advice where necessary in accordance with practice policy and with recommendations from clinical staff To cover at reception duties when tasked To be aware of Health and Safety considerations with respect to patients and staff in the all areas of the practice and ensure that all actions adhere to the Health and Safety Policy of the practice To maintain patient confidentiality. (This includes preventing medical histories; treatment proposals; conversations, financial transactions; reactions to treatment being overheard) Wherever possible, to anticipate patients anxieties and to answer questions referring to clinician/ manager for further assistance if necessary Receive and direct complaints in accordance with the practice Complaints Procedure(s) both Private and NHS To follow practice Health & Safety codes in all aspects including resuscitation, emergency procedures and fire drill To carry out any other duties requested by the employer to ensure that patients receive a high quality of patient care. To be flexible with your duties to ensure the smooth running of the practice To be ready to commence working day at contracted start time Financial: To remain able to calculate, post and collect patient charges, recording receipt on Orthotrac To remain aware of current fees and competent in engaging with patients regarding practice payment plans and options To prepare financial proposals and plans in accordance with individual treatment plans Process credit applications Treatment Coordinator: Demonstrate diary productivity through reporting monthly Track performance indicators through reporting monthly Ensuring all TC protocols are adhered to at all times Ensure TC consult areas are always fully stocked with both visual aids and marketing materials Additional Tasks: PA role to practice Principal Assorted reception and administrative tasks as required Conduct updates with Practice Principal as required Personal attributes: Articulate and personable Relaxed and easy manner with members of the public and colleagues Team player with strong relationship building skills both internally and externally To interact well with and support all work colleagues in all aspects of the practice.
