Tuesday, June 4, 2013 Hernando Heritage Council Meeting Minutes as recorded by Susan Shipp The monthly meeting of the Hernando Heritage Council was held at the old schoolhouse. 6 were in attendance: Susan, Cathy, Kandi, Carol, Doug and a new member, Paul Grogan. An additional new member tried to come but, could not locate the room we were in. We will try and get them to come again the next time. Susan announced that she had started a new Facebook account for the Hernando Heritage Council and that Kandi was able to get the administration rights to the old page shortly after the new one was started. The new page is under Hernando Heritage Council and the old one is under Historic Hernando School. Both will be utilized. Pictures of the progress on the school will be taken and posted and upcoming events will be announced. Our new members are actually products of the Facebook page so proof is already there that it is working. The new website has been started and should be up and running by the next meeting. Susan and Nick Dantico will be working on the site and will let Kathy at the Historical society know as soon as it is up and running so that she can link it to theirs. Doug said that the Farmer’s Market was sort of rained out this month so the turnout was not good. We will try to promote it more in upcoming months. Cathy asked if the Council would be okay with her operating the flea market kitchen as HHC and then donating the profits back to the council. All agreed that was a great idea. It would not be permanent unless we could find more people to assist her but, until she found replacements to operate it, we would benefit from her occupancy there. The Flea Market is closed all of August and starts back up in September. It was made known that Kelly is willing to cook for the Cattle Drive and she will be riding in the event. A menu of: Subs was decided on for lunch the first day of the cattle drive; BBQ Pork, Beans, Cornbread, and cake or cobbler was decided on for the dinner Friday night of the Cattle Drive; and a breakfast of Eggs, Pancakes, Sausage, Bacon, and Biscuits with gravy was decided on for the breakfast that Saturday morning. The drive riders should be into the festival in time to eat lunch there. Doug was going to find out if the place in Floral City would donate the big tubs of sausage gravy, we would like to get a hog donated for the meat on Friday night and the sausage and bacon for Saturday morning, and the other items are being put into a list and provided to area grocers asking for them to be donated. Susan will draft letters and have them ready to send out before the next meeting. Susan obtained pricing and information about the cookbooks and as long as we can work on getting recipes, she can have them ready by the Festival. It was decided that we will get the cookbooks locally from One Stop Print who is willing to give us the best price and allow us to get as many or little at a time as we want. They will also keep it on file so that we can produce more on an as needed basis. It wwas decided that we would have an 8 ½ x 11 size book with strong stock paper (like cardboard) on front and back and as section separators and that we will produce the entire book in black and white so as to keep costs low and to keep that old-fashioned appeal. Susan let the group know that she has obtained a graphing system that the Historical Society used for their last event that should help us for our festival this year. She will be helping to get vendors and information on the sheet. She also presented the council with the contract for Ryan Weaver, who is to put on a concert at our festival. It was decided that he will perform from from 3-4:30pm which will close out the day. However, the council was still not in agreement on selling tickets for the event as a whole. They would rather leave the festival as a donation only entry however, it was said that we could set up a VIP section up front at the concert and sell tickets to those spaces. Pricing was not decided on. The Citrus Hills Lodge has agreed to donate rooms for the band and Susan is working with Mike Scott Plumbing on some sponsorship for the event. Doug said that he will search to find people willing to help with stage building. Kandi mentioned trying to get the county follow through on their promise to build us one or at least giving us the money for supplies. It was also suggested that we come up with a supply list and ask the local Ace Hardware to donate materials with the promise of their name being on the stage…maybe we could call it the Ace Hardware Stage from hence forth? These suggestions will need to be followed up on and answers brought to the next meeting so that production can begin. The Scheduled events as of now are as such: 10am: Start of Festival; 12:30-1pm: Cattle drive expected to arrive; 1pm: Auction; 2pm: Band; 3-4:30pm: Ryan Weaver; 5:00pm: Silent Auction announcements and close of day. Susan let everyone know that her grandmother, Juanita Shipp, has agreed to make us jars of her Brunswick Stew to sell at the Cracker Café and general store this year and she encouraged everyone to try and contact others about donating foods in the same manner. It was decided that we would only have a limited menu for the café of collards, crackling cornbread, swamp cabbage, sweet tea, lemonaide, and a meat of some sort. Kandi suggested maybe getting a second hog or steer donated, already cooked. Susan said she could talk to Luke Simmons and John Messer about preparing the meat for us if we found someone to donate it. Susan will be providing the Historical Society with things for their next newsletter. The group decided that we should include mentions about the following: Cookbook submissions and pre-sales, The Southern Heritage Festival including the need for vendors and the fact that we will have concerts with this year’s event, The Farmer’s Market, and the availability of doors and window sponsors with plaques. It was also discussed that the plaques would not be limited to one per window or door since the money being asked for is certainly not enough to cover all costs. It was also brought up that the plaques would be one basic size and if the total wording exceeds that space, then the donor will have to also provide their own plaque. So far, the Francis & Valentine Rooks family is donating money for a window and would like to list more people than our plaque will hold so they will purchase their own plaque, The Shipp Family would lie to sponsor a door, Carol VanNess would like to sponsor a door, and a window will be sponsored in the name of Eloise VanNess as well. Paul, whom owns Citrus County Classifieds online, has agreed to promote the Festival and Cattle Drive on his website and otherwise. He also showed interest in helping in other ways. Such as: getting with a group called Reverse Tours who could help bring more people to the event. Susan will get started on producing promotional materials for the Festival ad cattle drive. Each member is trying to motivate attendance through various avenues, and Paul is willing to have his and other businesses donate towards the event. Information will be provided to Paul on the event so that he can assist with promotions. No further progress has been made on painting the school. Doug was given Bruce Benson’s number again from Bruce Benson Painting so that they could coordinate days to get together and finish painting. Also the local YMCA has offered to volunteer a day, week or whatever towards finishing and getting the grounds cleaned up if we just coordinate it with Sara Bargiel, the leader of our county YMCA group. Susan can get in touch with her as soon as a date has been given.
