UK | Legal Assistant at BBC The purpose of this exciting new role is to provide complete, administrative support to the BLA, Asia team, supporting the 3 Lawyers in the BLA Asia team as they efficiently partner the BBCW Asia business teams in offices across Asia (China, Hong Kong, Japan, Korea, Singapore and India) It would also be important to assist the BLA Asia team liaise with the other seven BLA teams in the other geographical P&Ls. Were ideally looking for someone with a strong interest in the law, and also someone with the confidence and ability to check over legal contracts and documents. The specific duties will centre around developing and managing systems to ensure administrative efficiency to the VP of BLA and the office, including: Managing Information flow from the UK to the VP BLA and team; The execution, filing and management of legal documents and key data for the VP BLA and team; Help to organise regular in-house and external training as required; Take minutes and circulate actions for key regular meetings and prepare confidential documents and materials; First point of technical liaison with IT Services regarding systems and requirements; Organise internal and external meetings, including venue arrangements and production/preparation of any associated materials Assisting the BLA team with email and contract management and archiving - electronic and paper systems; Assisting the BLA team with the creation of PowerPoint presentations and excel spread sheets; Supporting to enable the smooth running of the BLA team; and Maintaining Work in Progress summaries for BLA team. General Duties: Diary management; meeting room bookings; filing, typing, taking minutes when required; answering calls and taking messages; updating organisation charts; recording staff leave; printing and photocopying; creating and updating forms and legal documents; preparing presentations; maintaining documents in the Portal and other general administrative support, organizing the staff’s business trips, processing expenses and ordering taxis; drafting letters; tracking and processing invoices; first point of contact for clients and outside counsel; tracking department spending and liaising with finance department. You would also be required to assist as directed with special legal projects / ad-hoc tasks. Knowledge & Skills Very strong administration and organisation skills Ability to manage large amounts of paper work Initiative to put in place processes and systems for document management Quick to build internal and external contacts and relationships across numerous offices and time zones Ability to manage multiple time zones Attention to detail Fluency in English is essential (both verbal and written) Mandarin or other language skills relevant for the Asian market would be helpful but are not a requirement Excellent IT skills with Microsoft Office 2010 – Outlook, Word, Excel, and PowerPoint and video conferencing systems and need to be adept at learning new systems Knowledge of SAP and Concur would be a plus Leadership Behaviours The successful candidate should be able to demonstrate the following: A collaborative approach, a team player in a supporting role Global mind-set: thinking and acting for both local and global needs Professional behaviour with clients, service-oriented mind Professional Experience Strong administrative experience, preferably within the legal environment Proven experience co-ordinating with and liaising between large numbers of teams and ability to deal with stakeholders at all levels An understanding of the television media industry including digital media distribution and platforms would be an advantage Apply: aplitrak/?adid=Y21hcnNkZW4uMzY1NTMuMTU1MEBiYmN3dWsuYXBsaXRyYWsuY29t
