VACANCY ANNOUNCEMENT: CHIEF TRAVEL UNIT The African Union, established as a unique Pan African continental body, is charged with spearheading Africa’s rapid integration and sustainable development by promoting unity, Solidarity, cohesion and cooperation among the peoples of African and African States as well as developing a new partnership worldwide. Its Headquarters is located in Addis Ababa, capital city of Ethiopia. In seeking to achieve these objectives the African Union intends to strengthen its capacity to deliver by, among others, the implementation of new organization structure and the filling of vacant posts. The Commission of the African Union invites applicants who are citizens of Member States for the post of Chief Travel Unit. 1. Post: Job title: Chief Travel Unit Grade: P3 Supervisor: Head of Procurement and Travel Division Duty Station: Ethiopia, Addis Ababa 2. JOB PURPOSE: Under the supervision of the Head of Procurement, Travel and Stores Division, the incumbent shall assist in planning, organizing and discharging the responsibilities and activities of the Chief of the Travel unit of African Union Commission. 3. MAJOR DUTIES AND RESPONSIBILITIES: As the Chief of the Unit, the incumbent shall perform the following tasks within the Unit: The Incumbent’s overall responsibility will be to find solutions on strategic issues of the Travel Unit with a major role of improving the customer service delivery but not limited to the following; i. Processing of travel arrangement for the Commission’s officials, staff and invitees/meeting participants and others; ii. Processing Travel request verification and Purchase Orders iii. Processing verification of all invoices submitted by travel agencies or Airlines before they are sent for payment; iv. Ensuring timely settlement of invoices after reconciliation of the accounts of the travel agencies and airlines; v. Liaising with the Directorate of PBFA on the payments of travel services rendered to the commission; vi. Maintaining efficient records reconciliation of all tickets and MCO issued as well as the unused one vii. Preparing and submitting monthly, quarterly and yearly reports relating to all official travel activities of the Commission; viii. Initiating the communication between the Airlines and the Commission as well as appropriate correspondences with Suppliers of Air Travel Services; ix. Expediting contracts MOUs with the Suppliers of Air Travel Services and overseeing the contract management aspects in order to ensure compliance; x. Distribute tasks, supervise and carry out performance evaluation of staff under the Travel Unit xi. Perform any other duties as may be required by supervisors. 4. QUALIFICATION AND WORK EXPERIENCE REQUIRED: • Incumbent must hold a Master’s Degree in Business Administration/ Marketing Management, Procurement, Transport or any related field from a recognized institution and Professional Membership of IATA or equivalent accreditation from a recognized institution. • At least eight (8) years progressive professional experience in airlines/ travel agency and travel management i.e. ticketing and airline sales in a major government, International Organization, Public or Private sector organization 5. SKILLS AND COMPETENCIES REQUIRED : • Computer literate particularly in several packages and MS Office Applications • Knowledge of SAP Material Management module shall be an added advantage. • Knowledge of AMADEUS CRS shall be considered as a valuable advantage. • Ability to work with minimum supervision; • Excellent interpersonal and communication skills; • Ability to organize and motivate others to work in a multi culture environment; • Demonstrate ability to work in a team; • Excellent Knowledge of the workings of international organizations; Good analytical, drafting and report writing skills 6. LANGUAGE REQUIREMENT: Proficiency in one of the African Union working languages. Knowledge of one or several other working languages would be an added advantage. 7. TENURE OF APPOINTMENT: The appointment will be made on a fixed term contract for a period of three (3) years, of with the first twelve months will be considered as a probationary period. Thereafter, the contract will be for a period of two years renewable, subject to satisfactory performance and deliverables. 8. LEAST REPRESENTATIVE COUNTRIES: Candidates from the following least represented countries are encouraged to apply: Eritrea, Central African Republic, Cape Verde, Comoros, Congo (DRC), Djibouti, Equatorial Guinea, Liberia, Mauritania, Namibia, Sahrawi Arab Republic, SaoTome and Principe, Seychelles and Somalia. 9. REMUNERATION: Indicative basic salary of US$ 35,300.00 per annum plus other related entitlements e.g. Post adjustment (46% of basic salary), Housing allowance 14,414.40 per annum), education allowance (75% of tuition and other education related expenses for every eligible dependent up to a maximum of US$7,800.00 per child per annum), etc for internationally recruited staff of the Commission.
