Vilas Pool Planned Special Events: This group will oversee all processes and planning of our specific special events that will become annual events at Vilas Pool. While other events may be added, we currently have 2 events previously planned for this year. They are a Vilas Pool Day currently scheduled for the 2nd weekend in July, and our Music Fest which will be scheduled for the last weekend of the 2014 season. These will be referred to as the 2nd Annual Vilas Pool Day and the 2nd Annual Music Fest. These are major events and will require dedication, time, planning, follow through, organization, and many volunteers, as well as a and full presentation of plans to the Vilas Pool Advisory Board and the Selectmen as needed prior to any movement forward on any process. This group will work with multiple Project Volunteer groups such as, but not limited to: the Media group, Secretary/Scheduler, Snack Shack and Childrens/School group (as you may want to use this group to help enlist volunteers for assistance during the event day). They will report directly with the Advisory Board on all progress of plans and development. All activities of any events will be presented for initial review and final approval. Any financial funds for any projects will need to be presented and reviewed by the Advisory Board and processed through Grant Request process set up by the Selectmen. Reminder: there is a 2 week window for this process. Buildings and Grounds (General): This will be one of the major responsibility of the Advisory Board. Many volunteers will be needed throughout the season to help with the general upkeep of the grounds. Any volunteer who is willing to show up and give their time for a day or even a few hours will be welcomed. There will be a clean up weekend planned for sometime in May to prepare for the opening of the 2014 season (Potentially the 3rd weekend in May). We will need as many people as possible to be available for that weekend. Other responsibilities include inspection and review of state of buildings and grounds for 2014. Recommendations for any updating will be submitted to the Selectmen for request of any needed work. Any project bids will be submitted for final approval through the Advisory Board to the Selectmen. We of course are always looking for any volunteers that are properly credentialed for any work to be done and will seek that out when a project can be accomplished in that manner. This group may work with multiple Project Volunteer groups such as, but not limited to: the Media group, Secretary/Scheduler, Snack Shack and Childrens/School group (as you may want to use this group to help enlist volunteers for assistance during the event day). Any local tradesmen who can volunteer their trade will be reviewed prior to acceptance of work to be done to assure we are complying with any insurance requirements.
