Volunteer Coordinator Position Direct Supervisor: Vice President of Education and Learning Full Time Equivalent: 1.0 Work Hours: 8:30 a.m. to 5:00 p.m. Monday through Friday - Additional flexibility may be needed for community outreach, events, meetings and other special projects. POSITION GOALS AND OBJECTIVES The Volunteer Coordinator will have overall responsibility for volunteer recruitment and coordination, primarily within the Learning Department. Additionally, the person in this role will manage all communications activities that promote Urban League volunteer opportunities. The Volunteer Coordinator spends the majority of their time building capacity for the Schools of Hope tutoring program through recruiting, interviewing, and placing volunteer academic tutors. The Volunteer Coordinator will represent the Urban League of Greater Madison on a local level and must be comfortable with public speaking; working with businesses; building collaborations with community organizations and colleges. The Volunteer Coordinator also connects those interested in volunteerism with Urban League of Greater Madison to other agency initiatives. The Volunteer Coordinator supervises work-study students who work at Urban League of Greater Madison during the school year to ensure that volunteer files are created and maintained. The Volunteer Coordinator also approves all work-study tutor hours and works closely with UW-Madison work-study office. The Volunteer Coordinator is responsible for maintaining the data entry of volunteer records; updating active and inactive volunteer files and aggregating reports on agency volunteerism. ESSENTIAL DUTIES AND RESPONSIBILITIES The Volunteer Coordinator will: Develop and implement a comprehensive annual volunteer recruitment plan that meets the needs of each Schools of Hope school-based site. Consult with Schools of Hope management team and other staff to determine organizational needs for volunteer services and create volunteer job descriptions based on these needs. Participate in the development of goals, objectives, and policies affecting volunteers and recommend changes or adjustments to the volunteer program as appropriate. Interview, screen, and refer applicants to appropriate departments. Coordinate and help implement community relations and recruitment activities including, but not limited to: o Conducting telephone and face-to-face interviews o Disseminating information at community & campus events o Working with agencies that assist with volunteer recruitment, including United Way, UW-Madison, Edgewood College, Madison Area Technical College, and others o Identifying new and strengthening existing community partnerships Monitor and evaluate the efficiency and effectiveness of volunteer services utilizing instruments such as surveys, interviews, and other outcome indicators as indicated in various program proposals and service contracts. Compile results and report to supervisor. Ensure volunteer management systems and data entry of volunteer files are accurate and in alignment with industry best practices. Promote volunteer opportunities through existing Urban League promotional channels such as newsletters, websites, special events, etc. Develop and maintain policies and procedures related to recruitment, screening, orientation, training, support, and recognition of volunteers. Work with supervisor to keep promotional materials such as brochures and flyers updated and to create new promotional materials as needed. Serve as point of contact for all volunteers with the Urban League. Serve as a liaison between staff and volunteers. Match volunteer talents and interests with Urban League needs. QUALIFICATIONS Bachelor’s degree required Work experience in marketing, public relations, community organizing, volunteer management, and/or service learning highly desirable. Must be able to pass a criminal background check (note that a record of arrest or conviction does not automatically prohibit you from being employed for this position). Strong commitment to the mission of the Urban League of Greater Madison and to working to strengthen families from diverse racial/cultural populations. Must be goal oriented, problem solver and solution driven. Must have strong time management skills and the ability to balance multiple tasks. Must have proven ability to work both independently and as part of a team. Must demonstrate ability to forge partnership with a wide variety of organizations/institutions. Computer experience including Microsoft Word, Microsoft Excel, Microsoft Outlook, and Internet navigation required. Experience with desktop publishing and presentation software a strong plus. Must be able to travel around the Greater Madison community in own personal vehicle. Unwavering commitment to quality programs and excellence in organization and project management with the ability to achieve strategic objectives. A team player, who can interrelate and operate effectively with peers and other associates within a collegial, yet demanding, work environment Excellent verbal communication skills with impeccable writing and presentation skills. Strong leadership ability, including management, strategic and analytical skills required. Familiarity with and comfort using social media.
