WORLD HEALTH ORGANIZATIION (WHO) VACANCY NOTICE WHO, Sudan Office is looking for a qualified candidate to fill the following post:- Title: Admin. Assistant Duty Station: Khartoum/Sudan Contract Type: Special Service Agreement (SSA) Function Level: (4) Closing Date: 25 June, 2013 Objective of the position: Under Direct supervision of the Program & Admin. Officer, the incumbent will provide assistance in various Administration aspects such as travel management and telecommunications. Terms and References 1) Arranges the internal travel of all kinds , by air and road , and obtain necessary confirmation and clearances and coordinates with the WHO field offices and other agencies re arrangements of internal travel. 2) Assists in issuing internal travel authorizations for staff and keep records of issued Travel Authorization. 3) Receives and review travel claims of within country travel and ensure all required documents are attached along with the travel claim requisition. Verify the documents before forwarding for payment. 4) Receives and screens the statement and invoices submitted by the travel agent or the UN flight operation and verify the calculation before forwarding to Finance for payment. Maintain the WHO account with UN flight operations. 5) Arranges and monitors the outgoing and incoming pouch. 6) Monitors the telephone bills and ensures settlement is made in a timely manner. Monitor the communications budget and expenditures and keep records of all related matters. 7) As may be required, Provide support to Administration in terms of maintenance of office equipment and buildings. Cover the absence of Admin. staff as may be necessary. Education and Qualification: - University Degree with minimum 3 years of experience in related field. - Familiar with word and excel applications. - Good command of English Language Applications should be made in writing and sent to WHO representative Office with all supporting documents before the closing date to the following address:.
