POSITION TITLE Bookkeeping and Database Manager REPORTING TO VBC General Manager and VBCC/YC Manager HOURS: 2.5 days per week SALARY: Commensurate with experience POSITION SUMMARY: The Bookkeeping and Database Manager is responsible for overseeing and maintaining the accounts receivables and payables, payroll and all other bookkeeping duties, as well as the maintenance of the Salesforce database; reports to the General Managers and the Board. The ideal candidate will have experience with the workings of a non-profit organization. PRINCIPAL DUTIES AND RESPONSIBILITIES Bookkeeping: - All procedures as outlined in the Accounting Manual, including but not limited to: • Manage several separate choir accounts, including online banking • Monthly financial reporting via Simply Accounting • Prepare documents for year-end audit • Provide financial information as needed by managers for grant writing • Record and manage all payables and receivables • Create donation tax receipts and Children’s Arts Tax Credit receipts • Execution of payroll (via EFT) and create earning statements - Quarterly filing of GST/HST Return and remittance of WCB insurance payments - Update CADAC with our financial information as necessary - Prepare invoices as requested by the Managers - Manager paypal account Ticketing: - Collaborate with General Managers on ticketing decisions - Liase with PR firm and ticket agent on ticket offers as necessary - Coordinate vouchers and comps with assistance of GM - Coordinate outreach programs such as the VPL Inspiration Pass Database Management: - Maintain Salesforce database, including but not limited to: • Members (including fees paid, refunds, deposits, family relationships) • Donors/donations • Tax receipts issued • Train new users on the salesforce platform • Create/modify forms and reports (tax receipts, choir lists, payments received) • Accept registrations from online forms Other: - File paperwork related to Society Annual Report and to recording any board changes with the BC Registry - Provide feedback to managers on financial and administrative decisions Experience/Skills Required: - 2-3 years bookkeeping experience - Experience working with a non-profit organization - Understanding of database management - Self-starter; able to troubleshoot independently Assets: - Working knowledge of Simply Accounting - Working knowledge of the Salesforce database management platform - Working knowledge of Paypal/Virtual Terminal - Familiarity with CADAC Please send application cover letter, with resume and references, to: Kevin Riebs, President, Board of Directors at: accounts@vancouverbachchoir Posting will close as of midnight on 10 July 2014 NO PHONE CALLS, PLEASE Interviews will be scheduled between 14 - 18 July Position start date: week of 21 July
