vendor opportunity: Thank you for your application! Please review and complete the attached Vendor Application completely and return to reserve your space. Once your application and payment have been received, a confirmation will be made by email or phone call. Please be aware that premium spaces will be reserved on a first come, first served basis. Door prize drawings will be held throughout the day and each vendor will need to donate one item for those drawings. In addition, a 50/50 raffle will be held at the conclusion of the day. Vendors will receive a raffle ticket for each charity item donated! When you arrive at the craft fair, you will receive your booth assignment along with your lunch order form & ticket. Please complete and return the lunch order form no later than 9:30AM. Lunch will be delivered to your booth between 12:00 and 1:00PM by an event runner. Bazaar Information Date: November 16th, 2013 Hours: 9:00 AM – 6:00 PM Arlington Heights High School 4501 West Freeway Fort Worth, TX, 76107 Arrival/Setup Time: Unloading will only be permitted in the designated loading zones. Please limit your time in loading zone to no more than 15 minutes. If more time is needed, please make arrangements prior to event with bazaar officials. Help will be available if needed. Charity: For those who wish to donate, we will be collecting new, unwrapped toys for the Ronald McDonald House Charities. Each item donated will earn an additional ticket in the raffle!!! Please pass on this information in your advertising/promoting! Pictures with Santa: Times and location TBD Concession Stand: Lunches, desserts, snacks and drinks will be available to customers and vendors. Policies and Procedures 1. Merchants are solely responsible for the merchandise, property, business transactions, & collecting/reporting of Texas sales tax. 2. Set up hours will begin Friday at 6:00pm until 8:00pm, and Saturday morning at 7:00am. All set up must be completed by 8:30am. Help will be available if needed. 3. All booths must remain open, manned, and ready for business during show hours. Breakdown may begin at 5:00pm on Saturday and must be completed by 7:00pm. Packing and leaving while shoppers are still onsite looks very unprofessional, so please plan to be with us until closing. Help will be available if needed. 4. All tables must be covered to the floor (preferably fabric) and all packing material must be concealed to create a professional appearance. Please make sure that no items are outside your booth space. Aisles must remain clear for safety. 5. Only the sale and promotion of your approved items are allowed. You must have a product to sell – no advertisement – only booths. Sales activity cannot take place outside of your reserved space, and distribution of information or samples in any other location is prohibited. Booth sharing or subletting is strictly prohibited. 6. We ask that all vendors dress appropriately for a Holiday gift market. 7. The Fire Marshal will not allow burning candles. 8. No sound equipment may be used. 9. Be sure to bring all necessary equipment for loading and unloading. Each space must be completely clear of all items, including trash after the bazaar closes. 10. Security personnel will be on duty from Friday evening through the show on Saturday. However, it is your responsibility to prevent theft, damage, and accidents in your booth space. All credit card merchants should be aware that there are people who will use stolen credit cards. Please take all precautions to protect your belongings, merchandise, and yourself. 11. This is a non-smoking facility. 12. Free parking will be provided for your personal vehicles and trailers onsite. 13. If you have reserved electricity, please bring extension cords and surge protectors. The distance to the outlet varies from booth to booth. The only liability we have to the merchant in the event of such cancellation shall be the refund of fees paid prior to cancellation. • FWISD and Arlington Heights High School shall not be responsible for the loss of goods, merchandise, displays, or other materials resulting from fire, flood, theft, vandalism, acts of nature, or any other cause.
