NGO PRESENTATION Handicap International (HI) is an independent and impartial international aid organisation, not-for-profit with no religious or political affiliation, working in situations of crisis and disaster, alongside persons with disabilities and other vulnerable groups; we are focused on responding to their essential needs, improving their living conditions and promoting their dignity and rights. The organisation operates in more than 60 countries around the world including six countries in the Middle East: Egypt, Iraq, Jordan, Lebanon, the Palestinian Territories and Yemen through development and emergency programs. MISSION CONTEXT In response to the crisis in the Syrian Arab Republic, that has caused the displacement of civilians in Turkey, Lebanon and Jordan, Handicap International is implementing projects in Lebanon and Jordan, aiming at mitigating the impact of the crisis on the Syrian refugees and the host communities. PROJECT DESCRIPTION IN JORDAN HI will implement its emergency mechanism (DVFP: disabilitiy and vulnerability focal point) in order to target the most vulnerable persons who have a lack of access to the humanitarian assistance and to re establish this access through direct provision of services or referals. HI specifically provides support to Persons with Injury, Persons with Disability, Persons with Chronic Diseases and Older Persons. Furthermore, HI provides technical support to other organizations by ensuring that age and disability related vulnerabilities are integrated by stakeholders within the overall response. THE JOB Based in Amman Field Office and under the supervision of the Database Officer, the Database & Intake Assistant will have to: - Ensure the data entry of information related to HI projects into the database. - Receive calls from beneficiaries on the HI DVFP hotline and follow up beneficiary waiting lists as well as referral lists. RESPONSABILITIES & TASKS DESCRIPTION 1. Enter data into the database and manage beneficiary files a. Check all the files that coming to the database office; b. Ensure that the field follow up tools (individual assessment forms, case management forms, donation certificates, discharge certificate, etc…) are properly complete prior to entry in the database; c. Report issues related to the files’ quality to your line manager; d. Perform the data entry of information included the field follow-up tools in an accurate and timely manner. 2. Archive files when complete a. Ensure that all the appropriate documents in the beneficiary files are available; b. Ensure that all beneficiary files are correctly filed. 3. Prepare files for transfer a. Gather and prepare files to transfer by checking that they included all necessary information and forms; b. Prepare a list of files to transfer before handing them over to your line manager. 4. Take on Intake Officer’s responsibilities in his/her absence a. Receive and collect detailed information about beneficiaries by phone and email b. Computerize the aforementioned information thanks to waiting lists and/or referral lists c. Organize and prioritize the waiting lists according to criteria and areas of intervention d. Update the waiting lists & referral lists based on field teams’ feedback e. Report these updates to your line manager. QUALIFICATIONS & REQUIREMENTS for this position Experience: Preferable work experience in one of the following sectors: health / social / humanitarian Diploma: Degree in Computer Information Systems and/or in Social Sciences Languages Fluency in Arabic (mandatory) Fuency in English (mandatory) Computer skills Proficient in microsoft pack office (excel,word, outlook ....) Personal qualities Good communication and listening skills Strong sense of support & proactivity Organisational skills Capacity to work in team and autonomously Capacity to work in an multidisciplinary and multicultural team Dynamism, high level of motivation Honest and transparent Ability to work under pressure. CONTRACT CONDITIONS This will be a fixed contract of 6 months. The position is based in Amman for a starting date on the 17th of August 2014. The salary will be defined regarding the HI salary scale on-going.
