Administrative Assistant Position Action for Healthy Communities Society of Edmonton (AHC) Employment Opportunity Action for Healthy Communities Society of Edmonton (AHC) a4hc.ca is a non-profit organization that has, since 1995, been providing public education and other initiatives to enable individuals to enhance their own lives and the lives of people and the communities in which they live. Position: Administrative Assistant Employment Terms: 22.5hrs per week Compensation: $17 - $18 Closing Date: Open until suitable candidate is found Length of Contract: 3 months with possibility of extension Position Summary: The qualified candidate will be responsible for providing administrative support in a fast paced environment. Key duties include: • Prepare dispatch related documents; envelops with recipient address • Prepare and edit correspondence as needed • Photocopying, faxing, mailing and any other administrative support that may be needed by Executive Director • Keep and maintain record of program and office supplies and resources • Alert Project Coordinators of program material shortages and order replenishment of program materials and office supplies • Maintain records for the Board of Directors including minute binder • Coordinate schedules, meetings and calendar of the Executive Director • Greet and accompany visitors to the Executive staff offices • Maintain comprehensive filing for the Executive Director and the organization • Assist in preparation, coordination and submission of grant proposals, applications and reporting to funders • Prepare and distribute other reports and documents, including contracts • Assist with coordination of agency events (completing application forms/license requests for special projects by organizing and coordinating information, planning and arranging meeting schedules; monitoring and reporting on results) • Assist with coordination of Annual General Meeting activities • Supervision of administrative volunteers as required • Inventory control tasks as assigned • Banking and delivering mail to funders and board members • Other duties as assigned by supervisor Qualifications: • Diploma or certificate in clerical/administration assistant • One to two years progressive secretarial/administrative support experience in a corporate or non-profit environment • High proficiency in MS Word, Excel, Access, Outlook, and PowerPoint. • Competencies in research and presentations is an asset • Exhibited ability to use office equipment including telephone systems, printers and copiers/ • Demonstrated ability to exercise discretion with sensitive and confidential information • Demonstrated ability to work in a team environment • Demonstrated multi tasking skills and ability to organize workload are essential • Strong interpersonal and communication skills are critical • Demonstrated experience working in an intercultural/multicultural/cross-cultural context • Strong oral and written communications skills, demonstrating accuracy and positive style • Deadline-oriented, quickly-changing environment, good organizational, planning, and problem solving skills and demonstrated capacity to work with significant independence • Proficiency in other languages is an asset Other Requirements * Valid driving license and car * Criminal Record Check To apply - submit cover letter and resume in confidence to: Recruitment Committee, Action for Healthy Communities: Preferably by Email: [email protected] OR: Drop application off at AHC office location #101, 10554 – 110 Street, Edmonton
