Finance Assistant *Concern Worldwide is a non-governmental, international, humanitarian organization dedicated to the reduction of suffering and working towards the ultimate elimination of extreme poverty, working in West Darfur and South Kordofan in Sudan Concern is looking for a full-time Finance Assistant position based at Concern Khartoum Office.* *Job tide:Finance Assistant Reporting to: Finance Officer Job Grad:D(2,782.00 SDG) Location:Khartoum JOB PURPOSE/SUMMARY: The Finance Assistant will enable the smooth operation of the financer activities maintains records, support finance officers in ovْerall management of financial resources, monitoring and financial controls. The Finance assistant will assist in the consolidation of financial information for management analysis. p/he will ensure that the Concern Worldwide financial policies and procedure are implemented .ma stan4dized manner and in true spirit. MAIN DUTIES AND RESPONSIBILITIES Bookkeeping and Financial Reporting 1. Management of financial resources by doing receipts & payment bank accounts operons 2. updating of cash and bank books on daily basis, 3. Performing cash counts according to Concern policies and procedures 4. Payment to suppliers, review the payments ensure that complete and accurate documentation available. 5. Clearance of floats on timely, bases as per financial policies 6. Submission of month end as per agreed time to FO/CA for review 7. Doing bank reconciliation on monthly basis of all Khartoum accounts 8. Maintains 1ank and cash balance as mentioned in finance manual. 9. Maintain a cheque log sheet for track the cancelled, stale and void cheques. 10. Recording of bank charges on timely basis International Personal Accounts Management international staff personal accounts of Khartoum staff Duties 1. Updating of personal accounts sheet on regular basis 2. Reviewing of their personal expense (telephone bill etc) 3. Reconciliation with system on monthly basis 4. Sharing the personal account statement with international staff on a monthly basis 5. Ensuring that the personal accounts are not overdrawn Maintaining Financial Records The Finance Assistant will update the financial record and files properly. Duties 1. Maintaining of neat and tidy finance files that must be updated on timely basis (hard &soft) 2. Keep track/list of previous years finance files for audit trial. Tax Management & Social Insurance Deposit of Tax and Insurance to the respective department on timely basis Duties . 1. Deposit of tax and social insurance (statutory deductions) as per laws within stipulated time. 2. Ensure that all field offices tax and social insurance have been deposited on timely basis. Cash Forecast The Finance Assistant will coordinate with Khartoum Admin/HRJIT for monthly cash forecast and submit to CC for final review and also ensure that sufficient funds are available. Duties 1. Sufficient funds are available all times in Khartoum Office 2. Collect cash forecast from other department (HR,Admifl,TraflSP0r) 3. Review of cash forecast and forward to FO/CFC as pّer agreed time lines 4. Transferring of fund to field on. request. Audit (Internal & External) The Finance Assistant will assist in internal and external audit as required Duties 1. Assist in conduct of internal and external audit in logistics/administrative needs 2. Assist in internal audit of field offices . RELATIONSHIP Responsible For (Staff): Nil QUALIFICATION . University degree or diploma in accounting . Minimum of two years of related work experience . Fluent written and spoken Arabic and English and working experience in an INGO or UN preferable . A good understanding of financial control systems . Commitment to working in a team . Willing to travel to field offices (Kordofan /West Darfur) . High level computer literacy (MS Word, Excel) . High level of discretion is required due to the confidential nature of some parts of the finance function. CMA Certification will be an added advantage : Other duties . The above duties will be prioritised by the manager in Consultation with the post-holder, The post-holder may be asked to re-organise their work to help Concern respond to changes in type or extent of need. This would be done in a way consistent with the purposes of the post and in consultation with the post-holder. Due to the humanitarian nature of concern’s work, all staff may be called upon to Participate in emergency responses. All staff must: .
