Apply Tell a Friend Job Title : Administrator: HR Document Management x10 Position Reports to : Team Leader: HR Document Management Contract : Fixed Term Job purpose: SARS is in the process of automating the HR filing systems in the personnel environment and is looking for 10 x part-time individuals with a strong focus on administration and attention to detail to assist in the preparation, collating, tracking, scanning, recording and archiving of all documentation during the next 9 to 12 months. The individuals will receive training on the standard operating procedures and systems for the scanning project. Duties: Process: Preparation of files Removal op staples, repairing damaged documents, photocopying, straightening out of creased documents Ensure that all basic queries are resolved timeously, in line with provided procedures and guidelines and escalate unresolved issues. Ensure quality of work content, minimise mistakes and continuously improve quality and standards. Apply and utilise systems in a manner that ensures accurate processing of information that contributes to efficient and effective completion of tasks. Assist with administrative tasks within the relevant unit. Technical Competencies: Clerical skills (Fundamental) - Provide a fundamental administrative support function to a typical office environment. Planning and Controlling (Fundamental) - Manages time well ensuring objectives are achieved on time and at the right level of quality. Understand, follow, and give instructions - The ability to understand basic instructions and to take appropriate action. Behavioural Competencies: Attention to detail - The ability to take all relevant details into account to ensure that a task is completed to required standards. Honesty and Integrity - Must be able to display and build the highest standards of ethical and moral conduct in order to promote confidence and trust in the organisation Problem solving capability (Fundamental) - Ability to analyse elementary and fairly complex situations or problem and takes appropriate action to resolve Reading Comprehension (Fundamental) - Grasps the meaning of information written in English, and applies it to work situations Education & Experience: Matric (grade 12) or equivalent NQF grade 1 year basic admin experience The ideal candidate will have the following competencies: Ability communicate clearly and efficiently use MS Word (intermediate to advanced) Ability to perform under pressure Experience filing and general office administration filing correspondence and other records retrieving, confirming and updating data in storage Knowledge Good knowledge of available sources and gathering methodologies Computer literacy Employment Equity The Employment Equity policy of SARS will be considered as part of the recruitment and selection process.
