What does a Day-of wedding Coordinator do? Meets with the couple - One month before the wedding date to go over the contracts/arrangements the couple has previously made with vendors. - Second meeting one week before the wedding date to confirm final details. Rehearsal - Choreograph the wedding ceremony along with the minister. - Advise wedding party of where they need to meet on the wedding day. Pre-ceremony - Communicate with best man/maid-of-honor to make sure groom/bride is getting dressed and on-time. - Make sure bridal flowers (bouquets, boutonnières) are delivered on time. - Ensure that transportation arrives on time and instruct wedding party as to when to depart for ceremony. - Communicate with transportation driver and maid-of-honor/best man while bridal party is on the way to the ceremony location. - Make wedding party aware of any last minute details. Ceremony - Set up programmes and other ceremony items. - Ensure that ceremony musicians have arrived and direct them as to where to set up. - Confirm the music that ceremony musicians will play during the ceremony. - Ensure that ushers arrive on time and are ready to pass out programs. - Alert ushers as to when to begin escorting special guests to their seats and remind them as to how to be a “proper” usher. - Act as a liaison with the ceremony officiator. - Line up the bridal party for their entrances down the aisle. - Cue ceremony musicians when bridal party is ready to begin processional. Reception - Look over dining tables and make sure they are set up properly. - Go over the flow of the programme with master of ceremonies, caterer, band/DJ, photographer, and videographer and highlight when important events take place at the reception i.e. first dance, cake cutting, toasts and parent dances. - Ensure proper flow of the cocktail hour. - Help guests locate their escort cards and dining tables. - Cue band when the majority of guests have found their tables and bride and groom are ready to be introduced. - Cue bride and groom for their introduction and first dance. - Set up wedding favor table. - Distribute final payments to vendors at the end of the evening. - Prevent & fix any problems that may arise during the event. - Remain easily accessible through the entire event in case there are any details to attended to. - Pack up gifts/cards, miscellaneous ceremony and reception items and have them ready to be given to a family members at the end of the night. - Coordinate reception departure transportation for bridal party.
